A small international group needing consistent lunches
Good Food Institute India and GFI Europe coordinated a three-day meeting programme in Budapest from 9 to 11 June 2026. The brief asked Pearl Lemon Catering to arrange premium, entirely vegan lunch boxes at KAPTÁR coworking space, delivered within the agreed lunch window each day. Although the confirmed production plan covered a small group, the standard still needed to feel polished and considered rather than a generic takeaway drop-off.
The constraint: three days, seven covers each day
The client reduced the planned number of catering covers to seven per day before production. That revision mattered operationally: kitchens, packaging, beverage quantities and delivery manifests all had to follow the lower number. Seven per day was the planned order allowance, not a count of attendees. A small order at an international venue still requires delivery scheduling, dietary accuracy, menu variety, correct labels and someone available to receive the catering.
What the Gold-format lunch required
The supplier brief called for premium chef-curated vegan lunch boxes with rotating menus across all three days, desserts, a more complete beverage package, eco-conscious presentation materials and dietary labelling. Each day’s service was planned within a 12:30–13:30 delivery window. Specific recipes and final packaging materials are not listed here, because the brief set a package standard rather than a fixed menu.
Pearl Lemon’s actual remit
Pearl Lemon managed the hospitality brief, local supplier coordination, delivery instructions and updates to the client-facing operational plan. The client team organised its own meetings and venue use; Pearl Lemon did not run the meeting agenda or the broader institute programme. This scope distinction is important for international catering: buyers often need a reliable local fulfilment partner, not a second event producer.
Successful service across three days
The Budapest catering was delivered successfully across all three days. We don't turn the planned seven lunches a day into an audited meals-served total or add a client testimonial. The case shows how a premium food standard can be kept for a small group and repeated over several days in another country.
Buyer takeaways for vegan meeting lunches abroad
Confirm the exact number of meals before each delivery day, recipe-level vegan status, allergens, labelling language, delivery contact and precise lunch break. Rotating menus prevent repetitive food without forcing an expensive full-service kitchen setup. When booking across borders, agree the invoice, currency and local delivery responsibilities before the first event day.
Frequently asked questions
Can you arrange vegan corporate lunches in Budapest or elsewhere in Europe?
International delivery can be arranged where local supplier coverage and venue access are confirmed. This case concerns a three-day Budapest meeting; each new city or venue requires an individual feasibility and dietary check.
Does a small seven-person group need a full-service caterer?
No. Premium individual lunch boxes can be more practical for meetings with limited space and a fixed programme, provided they meet presentation, safety and dietary needs.
Will the menus change across several days?
They can. The Good Food Institute brief specified rotating vegan menus across three days. Actual recipes should be approved with the organiser and local kitchen in advance.
Can desserts and drinks be included?
Yes. The confirmed Gold-format brief covered desserts and beverages in addition to vegan lunch boxes. Confirm exactly what is included for a new event.
How do you verify food is vegan?
Check ingredient and production specifications with the kitchen, including stocks, sauces, dairy alternatives, honey and cross-contact. Vegan suitability does not automatically mean a dish is free from allergens.
What time can meeting lunches be delivered?
Agree a specific receiving window against the meeting schedule. The Budapest plan used 12:30–13:30 each day; actual local access and kitchen production timelines control what is possible.
