Who, where and when

Together Collective, an events agency, booked a bubble tea workshop with Pearl Lemon Catering for one of its clients in Stratford, London, on the evening of 20 August 2025. The plan was for 20 participants and a 60-minute session; both are planned figures.

This is the August bubble tea workshop. Together Collective’s later Halloween latte art event in October 2025 was a separate booking with its own case study.

The constraint: one hour, twenty people

An hour goes quickly when 20 people share ingredients and equipment. Without structure, a workshop turns into a queue and guests spend more time waiting than making. Ingredients needed to be laid out before anyone arrived, the steps had to be simple enough to follow as a group, and choices had to be limited so everyone could finish within the hour.

Who did what

  • Together Collective: the relationship with its client, the wider event and the venue.
  • Pearl Lemon Catering: the workshop itself, with a trained facilitator and an assistant, all equipment and consumables, setting up an hour beforehand and clearing away afterwards.

The workshop plan

The session covered the basics: brewing tea bases, preparing tapioca, and combining fruit and milk teas with toppings such as fruit pearls and jelly. Each participant had an allowance of up to three drinks. That was the proposal allowance, not a measured count, and it kept the hour hands-on rather than turning it into a free bar.

Outcome, including what did not go smoothly

Pearl Lemon ran the bubble tea workshop for Together Collective’s client. It was not entirely smooth: there were communication and timing issues around the booking. We apologised to the agency, and the apology was accepted. We mention it because clear communication is the part of a workshop booking we now confirm most carefully.

Planning a drinks workshop

  • Fix the headcount and session length; they decide equipment and stock.
  • Agree a per-person drinks allowance.
  • Confirm set-up time, access and who the on-site contact is.
  • Share dietary needs, including dairy-free and allergen requirements.
  • If booking through an agency, agree who confirms timings with whom.
