A four-day drinks brief at ACC Liverpool
Colourways coordinated coffee hospitality for an exhibition running from 19 to 22 May 2025 at ACC Liverpool. The project needed barista-led service throughout long show days rather than a short refreshment delivery. Pearl Lemon Catering was asked to supply the drinks operation, equipment, cups and consumables; the exhibition and client stand experience were managed by the event organiser. The original proposal specifies a single experienced barista for the four days.
The practical challenge: one barista over four show days
A show-floor coffee stand has to work within fixed access, power, storage and servicing arrangements. Here the event brief anticipated particularly long daily service hours, so setup, milk handling, deliveries and shutdown routines were as important as the drinks list. To reduce the equipment burden, shipment of the espresso machine and grinder ahead of the event was part of the logistics plan. Final room access and operating hours should always be confirmed with the venue rather than inferred from a sales proposal.
A focused menu and a clearly labelled forecast
The agreed planning allowance was 1,000 beverages across the exhibition, with a suggested mix of 600 coffees, 300 hot chocolates and 100 teas. Those are purchasing assumptions, not audited drinks served. Cups were to carry the relevant event branding, supported by lids, stirrers, napkins, sugar and sweeteners. The proposal also addressed milk storage, with a small refrigerator preferred if the client could make one available.
What Pearl Lemon was responsible for
The Catering remit concerned the barista, hot-drinks preparation, equipment and ingredient logistics, cleaning materials and the daily setup and pack-down needed to operate a temporary coffee station. Colourways and venue stakeholders retained responsibility for the wider exhibition, space and stand requirements. Working from an agreed handover matrix is particularly important when a show has a branded cup supplier, courier, venue loading team and barista all involved.
Delivery and client outcome
The event was completed successfully and Colourways was happy with the service. The proposal sets out a four-day operation and its forecast, not an audited drink tally or final consumption mix, so none is given here. The transferable proof is the planning for a multi-day, staffed hot-drinks service with a clear split between the catering operation and the exhibition itself.
What exhibitors should ask before hiring a coffee bar
Ask about the number of operating hours, equipment footprint, reliable power, water supply, milk storage, branded cups, queue direction, back-up stock and responsibilities for transport. If the event spans several days, establish who checks consumables at the end of each day and what happens if actual demand diverges from the original forecast. That gives the host an operating plan rather than a generic per-drink quote.
Frequently asked questions
Can one barista operate a four-day exhibition coffee stand?
Possibly, if expected demand, opening hours, breaks and venue rules support a single-person service. A barista plan must account for rest periods and peak queues rather than assume the daily total is evenly spread.
Does a 1,000-drink package mean 1,000 drinks were actually served?
No. For this Colourways project, 1,000 was a volume allowance used for planning ingredients and service. Actual consumed drinks would require point-of-service or stock reconciliation.
Can branded cups be included?
Branded cups can be incorporated when artwork, lead times, print specification and delivery responsibilities are agreed ahead of the show. The client may supply some branded materials directly.
What power, water and refrigeration does an event coffee machine need?
Requirements depend on the actual espresso machine and venue layout. Confirm the electrical supply, safe water arrangement and milk storage before finalising the quote; portable water systems may be an option.
Can an exhibition coffee station serve tea and hot chocolate too?
Yes, subject to a suitable machine, stock and service plan. The Colourways brief included all three hot-drink categories with different planned proportions.
How early should international or out-of-town exhibition catering be organised?
Ideally before stand build and logistics deadlines. Share the event manual, stand drawing, dates and forecast footfall so equipment deliveries, staff access and consumables can be confirmed.
