The brief
For a private London gathering on 28 June 2025, Realmless needed more than food delivered to an address. The commission covered a summer BBQ with live cooking, buffet service, a margarita and drinks offer, desserts and family-friendly support, alongside furniture and equipment. The planning headcount started at 37 and rose to approximately 47 the evening before the event. The location was a private residence, so discretion, access and guest privacy were essential.
The challenge
The compressed lead time brought several services into one delivery window. The event required food preparation, staffed grilling, drinks, furniture hire, setup, replenishment and pack-down, with children and adults sharing the space. Realmless also needed a partner that could coordinate specialist suppliers rather than passing each problem back to the event organiser. A ten-person late headcount increase added procurement and portion-planning pressure after much of the operation had been arranged.
Our approach
Pearl Lemon brought the different service streams into one operational plan, including supplier sourcing, staffing, menu coordination and venue logistics. A live BBQ and buffet offer provided a casual centrepiece, while the bar service, desserts and ice-cream element extended the hospitality beyond the main meal. Behind the scenes, the team had to align equipment and furniture delivery with kitchen preparation and guest arrival, so the social environment would remain informal rather than feel like a moving-in day.
How it was delivered
The team mobilised the BBQ format and related services on the four-day timeline, then adjusted provision when the expected guest number rose. Event coordination covered access and setup, food and drink service, replenishment, clearing and breakdown. The documented approach was designed around freeing the host and the organiser to spend time with guests instead of managing several live suppliers.
The outcome
The event went ahead on its scheduled date and the source archive establishes the enlarged planning headcount of about 47. It also records positive client-side communications, although not an approved testimonial or a complete final count of meals and drinks consumed. The documents do not establish a complete post-event quality report, so this story concentrates on the supported facts: fast mobilisation, changed requirements and coordinated delivery rather than a claim that every operational detail was flawless.
