The brief
Varonis was preparing a client-facing gathering at the x+why Foundry building in Birmingham on 13 October 2025. The catering brief covered an executive-style vegetarian continental breakfast for a planned group of around 80, including a modest gluten-free allocation. Food needed to look plentiful and professional without competing with the meeting itself. The schedule called for setup ahead of a 10:00–11:00 breakfast window.
The challenge
This was a drop-off event with the expectations of a serviced presentation. Access ran through the building’s loading and lift arrangements, while the final display relied on counter space that had to be measured and prepared in advance. Chilled items required special care because convenient cold holding was limited near the service area. The client’s office manager needed assurance that the event would be guest-ready without last-minute intervention.
Our approach
We organised the menu around an elegant, easy-to-navigate mix of pastries, breads, scones, yoghurt pots, juices and water. The vegetarian brief and gluten-free provision were addressed within the preparation plan. White tablecloths and a clean layout helped the refreshments feel appropriate for an executive setting. We also mapped the delivery route and service lift process, treating venue logistics as part of the catering specification.
How it was delivered
On the morning of the meeting, Pearl Lemon coordinated delivery and presentation around the confirmed access and event windows. The objective was a ‘walk in and it’s ready’ experience for the host: a visually coherent spread, clearly differentiated dietary options and minimal operational distraction once guests arrived. This is an example of a relatively modest food format requiring detailed attention to setup and finish.
The outcome
The strongest evidence is the client’s own post-event response: ‘It was great, exactly as I wanted.’ The source also records Varonis planning a subsequent January 2026 event with Pearl Lemon, a useful relationship signal. Eighty was the event’s planning scale; the records do not contain a final independently counted number of guests served. Nor do they support quantified administrative hours saved or a numerical satisfaction score.
