These terms apply to event catering booked with Pearl Lemon Catering, a trading name of Pearl Lemon Cafe Ltd (company no. 14010473), Kemp House, 152-160 City Road, London EC1V 2NX. They are our standard terms; anything agreed in writing in your quote takes precedence.
Quotes and booking
- Quotes are issued within 48 hours of a full brief and are valid for 14 days.
- A booking is confirmed when you accept the quote in writing and the deposit is received.
- We accept bookings at 48 hours’ notice where kitchen and staff capacity allows.
Deposit and payment
- A 50% deposit confirms the date; the balance is due 7 days before the event.
- Bookings confirmed within 7 days of the event are payable in full at confirmation.
- Prices are quoted per head or per platter and exclude VAT unless stated. Travel outside London and accommodation for overnight events are quoted separately.
Final numbers and menu changes
- Final guest numbers are due 5 working days before the event. That figure is the minimum charged.
- Increases after that point are accommodated where possible and charged at the quoted per-head rate.
- Menu changes are free up to 10 working days before the event; later changes depend on supply.
Cancellation
- More than 30 days before the event: deposit refunded less any committed supplier costs.
- 15-30 days: deposit retained.
- 7-14 days: 50% of the total.
- Less than 7 days: 100% of the total.
- Postponement to a new date within 6 months is offered where our team is available, with costs already committed carried over.
Allergens and dietary requirements
Dietary requirements must be confirmed with your final numbers. We provide full allergen information for every dish and cater halal, kosher, vegan, vegetarian, gluten-free, dairy-free and nut-free menus. Our kitchens handle major allergens, so we cannot guarantee a completely allergen-free environment; where a guest has a severe allergy, tell us and we will agree the handling in writing. Venue, access and equipment
- You are responsible for venue access, parking, power, water and a safe working area for our team.
- Delays caused by venue access are chargeable at our hourly staff rate.
- Hired equipment remains our property; loss or damage during the event is chargeable at replacement cost.
Staffing
Event staff are charged from £28 per hour with a 4-hour minimum in the UK, and from €35 per hour in Europe. Overtime beyond the agreed finish time is charged in 30-minute increments.
Liability and insurance
We hold £10,000,000 public and products liability cover and £10,000,000 employers’ liability cover. Certificates are available on request. Our liability is limited to the value of the booking except where the law does not permit that limit. See our credentials and insurance page.
Circumstances outside our control
Where an event cannot proceed because of circumstances outside either party’s reasonable control, we will offer an alternative date or refund sums not already committed to suppliers.
Complaints
Tell us within 7 days of the event and we will respond within 5 working days. These terms are governed by the law of England and Wales.
