The specific scope of services will be defined in writing through proposals, service agreements, event briefs, or confirmation documents.
Services may include:
- Corporate catering and food service delivery
- Beverage service including coffee, cocktail, or experiential drink stations
- Event staffing including waiting staff, bartenders, hosts, and coordinators
- Equipment hire coordination and venue logistics
- Event planning support and operational timelines

Unless explicitly stated, Pearl Lemon Catering does not act as the venue provider, AV production company, or security contractor, although we may coordinate such suppliers as part of event management.
Enquiries, Proposals, and Booking Confirmation
Event Enquiries
Submitting an enquiry through our website or other communication channels does not constitute a confirmed booking.
Event dates and service availability are only secured once:
- A written proposal has been accepted
- Any required deposit has been paid
- Written confirmation has been issued
Proposal Validity
Proposals and quotations are typically valid for a limited period stated in the document. Pricing, availability, or supplier conditions may change if confirmation is delayed.
Minimum Notice Periods
Certain services may require advance notice to ensure staffing, supplier coordination, and logistics planning. Late bookings may be accepted at our discretion and may incur additional charges.
Pricing and Payment Terms
Fees and Cost Estimates
All pricing provided in proposals or agreements is based on the event information available at the time of quoting.
Final costs may vary depending on:
- Confirmed guest numbers
- Menu selections
- Service duration
- Venue requirements
- Equipment hire needs
- Additional staffing or last-minute changes
Deposits
We may require a deposit to secure event dates and initiate operational planning. Deposits are typically non-refundable unless otherwise agreed in writing.
Payment Schedule
Payment terms will be outlined in the proposal or agreement and may include:
- Initial booking deposit
- Interim payments for large or complex events
- Final balance payable prior to event delivery
Late payments may result in suspension or cancellation of services.
Additional Charges
Additional services requested after confirmation may incur supplementary charges. These may include extended service hours, additional guest numbers, menu changes, or enhanced logistics requirements.
Client Responsibilities
To ensure successful event delivery, clients agree to:
- Provide accurate event information including guest numbers and dietary requirements
- Confirm event logistics and access arrangements with venues
- Ensure appropriate permits or permissions are obtained where required
- Provide timely approvals on menus, schedules, and service plans
- Inform us promptly of any changes that may affect delivery
Failure to provide accurate or timely information may impact service outcomes and may result in additional costs.
Dietary Requirements and Allergens
We take reasonable care in managing dietary requirements and allergen information.
Clients are responsible for:
- Providing accurate dietary details prior to the event
- Communicating any severe allergy risks in writing
- Ensuring guests follow appropriate service guidance on-site
While we implement professional food handling practices, we cannot guarantee completely allergen-free environments due to shared preparation facilities or venue conditions.
Event Logistics and Operational Conditions
Venue Access
Clients must ensure that venue access, loading permissions, parking arrangements, and setup times are confirmed in advance.
Delays caused by venue restrictions or third-party suppliers may impact service timelines.
Staffing and Service Management
Our staff operate under agreed service schedules. Extended service hours or unexpected operational demands may incur additional charges.
Equipment and Property
Equipment provided by Pearl Lemon Catering remains our property or that of our suppliers. Clients may be held responsible for damage, loss, or misuse during the event period.
Changes, Cancellations, and Postponements
Client-Initiated Changes
Requests for significant changes to event scope after confirmation may require revised proposals and may affect pricing or feasibility.
Cancellations
Cancellation terms will be defined in the event agreement and may depend on notice period, supplier commitments, and operational planning already undertaken.
Deposits and incurred costs may be retained where services have already been scheduled or resources allocated.
Postponements
Where events are postponed rather than cancelled, we will make reasonable efforts to transfer bookings to new dates subject to availability and supplier conditions.

Pearl Lemon Catering may coordinate services delivered by third-party suppliers such as:
- Food production partners
- Staffing agencies
- Equipment hire companies
- logistics providers
- beverage specialists
While we manage supplier coordination, we are not liable for failures outside our reasonable control, including supplier delays, venue operational issues, or force majeure events.

- Natural disasters
- extreme weather
- transport disruptions
- government restrictions
- venue closures

In such circumstances, we will work with clients to identify reasonable alternatives where possible.
